Privacy policy
Buttress offers architectural services and associated services of heritage consultancy and masterplanning. In conducting our everyday business Buttress collects data by communication and interaction with employees, clients, suppliers and other third parties. The following statement outlines why we collect data, how we use it, how we store and manage its security and outlines your individual rights with regards this.
Lawful Basis
We collect and hold limited data under the GDPR lawful basis of “legitimate interest”. This is to enable us to conduct our core business “architecture | heritage | masterplanning” and is done in a transparent, fair, necessary and limited manner.
Data we collect
We collect information that you provide to us directly to enable us to do business with you. For example, if you provide us with a business card, write to, phone, or email us, your contact details and the contents of the message (including attached documents and files) may be collected and processed.
We also collect information for marketing our services to you; either directly by consent or through commercially available resources permitted by law and under data protection. We operate under GDPR back to back with PECR (Privacy and Electronic Communications Regulations) in relation to email marketing. You may opt out of email updates at any time by using the enclosed unsubscribe link.
We only collect as much personal information as is required by law or needed for reasonable business purposes, and retain it for as long as it serves the purpose of processing for which it was collected or authorised. For example, if you send a CV to Buttress enquiring about potential employment, we will delete it after a maximum of 6 months. Our recruitment email also autodeletes all emails older than 12 months old.
Our website collects limited information automatically to help us analyse its performance. This includes visitors’ IP address, type of web browser and operating system used, the time and duration of their visit, and information about the pages within the Buttress site that are viewed. We process this data responsibly, ensuring your data is secure and used only for the reason we collected it in the first place.
Data records
We will never share personal information with externally controlled parties, unless required to do so by law. Processors are vetted to ensure that they comply with GDPR and data protection requirements. We may transfer personal data outside of the European Economic Area (EEA) to enable it to be processed; if so the transfer of information is SSL encrypted to ensure its security.
Data held by Buttress sits on secure systems behind firewalls, and where backed up off-site is transferred with ssl encryption.
All old computer equipment is disposed of responsibly and data securely removed before destruction or recycling.
All old paper files are either securely archived or shredded.
We are legally required to hold project information for 12 years upon completion, and will do so in a secure and responsible manner.
Right to correct or access
You have the right to request to see information held about you and to request for it to be updated. This can be done by contacting us at the following address. We shall respond by the appropriate channels in a timely manner.
Right to erasure
You have the right to object to your information being used for the purposes listed in this Privacy Policy and can request that they are removed from our database at any time, unless there is a legal reason for us to keep information on record.
Data breach
A data breach can be:
• the loss or theft of data equipment on which personal information is stored;
• unauthorised access to personal information either by a member of staff or third party;
• loss of data resulting from an equipment or systems failure;
• human error such as an accidental deletion of alteration of data;
• unforeseen circumstances such as a fire or flood;
• a deliberate attack on Buttress’ IT systems, such as hacking, viruses or phishing scams; or
• by deception of the organisation which holds it.
In the event of a data breach we shall inform the Information Commissioner within 72 hours of becoming aware of the issue, if we think it will affect the rights and freedoms of any individuals. We shall also notify any affected individuals in the event of any such breach.
